1. Who operates the system
Muddy Boots Escapes Ltd, company number 14702173, is the controller of the personal information we collect through our Ring cameras and video doorbells.
Contact [email protected] or 07346 006156. Registered office and formal correspondence address: Unit 27, Cumberland House, Business Park, St Lukes Road, Kirkby Stephen, Cumbria, CA17 4HT.
2. Where cameras operate and what they record
Ring cameras and video doorbells cover front doors and designated parking areas. Recordings are triggered by motion detection; there is no continuous recording.
Audio is enabled. Exterior signs at all three properties state that video and audio recording take place. Event recordings may therefore include voices within the equipment’s range, alongside images of guests, visitors, delivery personnel and others in the covered areas. Relevant information can include video, audio, dates, times and device/event details.
The areas covered differ by property. Please contact us before booking if you need information about a particular entrance or parking area. Camera positioning and audio range must be limited to what is necessary for the stated security purpose.
3. Purpose and lawful basis
Our purpose is to protect people and property, deter and investigate security incidents, and retain relevant evidence where an incident, complaint, insurance matter or legal investigation requires it.
We rely on legitimate interests for the security purposes described above. This requires the recording to be necessary and proportionate, with our interests balanced against the privacy and rights of people affected. Accessing a property or accepting booking terms is not consent to unrestricted surveillance.
Our use of video and audio must be limited to what is necessary and proportionate for those purposes. Audio is more intrusive than video alone; equipment capability and signage do not by themselves justify it. We must consider less intrusive alternatives and review coverage, recording settings and retention as circumstances change.
4. Retention and deletion
Routine recordings are retained for up to 30 days. The Ring routine retention setting is 30 days. Any downloaded copies must also be managed consistently with our retention purposes and periods.
A relevant recording may be kept longer when necessary for a specific incident, complaint, insurance claim, legal claim or investigation. Only the relevant material should be preserved. Its purpose and continued need must be reviewed, and it must be deleted when no longer needed.
The 30-day period is a maximum routine period, not a requirement to retain every recording for the full period.
5. Access, security and disclosures
Access to recordings must be restricted to authorised people who need it for the relevant security or incident-handling purpose. Account access, storage and downloaded copies must be protected appropriately.
Ring provides the camera and associated cloud services. Relevant information may be disclosed to police, other law-enforcement bodies, an insurer, legal adviser or regulator where necessary and lawful. A request does not automatically justify disclosure: the recipient, purpose and legal basis must be checked, and only relevant information supplied.
Footage is not intended for entertainment, marketing or publication on social media. We do not routinely share guest personal information with cleaners, maintenance contractors or our accountant.
6. Ring and international processing
Ring’s own processing is explained in its Privacy Notice and Privacy information. Those documents do not replace our responsibilities as controller. See Third-Party Providers for related service references.
Provider processing may involve countries outside the UK. Where a restricted transfer is made, applicable UK transfer requirements must be met, including the relevant adequacy or contractual mechanism and assessment. Contact us for details relevant to our service arrangements.
7. Your rights and requesting footage
Depending on the circumstances, you can request access to information about you, correction, erasure or restriction, and object to processing based on legitimate interests. Rights are subject to legal conditions and exceptions; an objection must be considered on its merits.
For a footage request, contact us promptly and provide the approximate date/time, property, location and a description that helps us identify you. Recordings may be deleted under the routine schedule before a request arrives. We may request proportionate identification information and may need to obscure other people’s information.
Requests are normally handled without charge and within one month, subject to lawful extensions and applicable exceptions. We will explain the position if an extension or limitation applies.
8. Questions, complaints and other policies
Please contact us if you have concerns about camera coverage, audio or the handling of a recording. You can also complain directly to the Information Commissioner’s Office.
See our Privacy & Data Protection notice for wider data processing, and Policies & Legal for the full policy directory.
